Prompts

Explain it like I'm new

When to use this: You don't get a topic and want the core in five minutes, without jargon.

Explain [TOPIC] to someone who has never heard of it.
- Start with one sentence: what is it and why does it matter?
- Then use one comparison from everyday life.
- Give 3 key concepts, one sentence each.
- End with an example from [MY SITUATION / INDUSTRY].
No unexplained jargon. Max 200 words.
Then ask me one check question to see if I got it.

Prompts

Critical reviewer

When to use this: Before you send a plan, text or proposal and want honest feedback instead of compliments.

You are a critical reviewer. Your goal is to make [DOCUMENT / PLAN] better, not to reassure me.

[PASTE THE TEXT HERE]

1. Name the 3 weakest points, weakest first. Explain why each is weak.
2. Give a concrete improvement for each.
3. What question will [AUDIENCE, e.g. the client] ask first that I don't answer?
4. State your confidence per point (high / medium / low) and why.
No compliments, no summary of what I wrote.

Prompts

Summarise a document, answer first

When to use this: You have a long report, contract or email thread and want to know what's in it and what you need to do.

Summarise the document below for [WHO, e.g. a busy small-business owner].

Structure:
1. The answer in 1-2 sentences: what's the core and what does it mean for me?
2. Max 5 bullets with the key facts (with numbers and dates if present).
3. What do I need to do, and by when?
4. What is missing that I would expect to be there?
Quote verbatim for amounts, dates and obligations. Don't invent anything that isn't in the text.

Turn notes into a proposal

When to use this: You have messy notes from a conversation and want a clean proposal out of them.

Turn my notes below into a proposal for [CLIENT / MANAGER].

Structure: problem (in their words) → proposed solution → what it delivers → approach in steps → cost and timeline → next step.
- Only use what's in the notes. If something is missing (price, date, number), write [MISSING: …] instead of inventing it.
- Tone: [FORMAL / CASUAL], max 1 page.
- At the end, list the open questions I still need to ask.

Notes:

Research with sources and doubt

When to use this: You need facts and want to know what's certain and what isn't. Works best with an assistant that can search the web.

Research: [QUESTION].
Context: [WHY I WANT TO KNOW / COUNTRY / PERIOD].

Rules:
- Give a source for every claim (link + date of the source).
- Prefer primary sources (law text, official site, study) over blogs.
- Not sure, or no source found? Say so literally: "Not sure" or "No source found". Don't guess.
- If sources contradict each other, name both.

Output: short answer (2-3 sentences) → supporting bullets with sources → what's still open.

Always check the key sources yourself; even with citations a model can misread a link.

Prompts

Rewrite in my tone

When to use this: A text is right in substance but doesn't sound like you (or sounds like AI).

Here are 3 texts I wrote myself:
[EXAMPLE 1]
[EXAMPLE 2]
[EXAMPLE 3]

First describe my style in 5 bullets (sentence length, word choice, tone, what I never do).
Then rewrite the text below in that style. Keep the content and all facts the same.
Avoid: [WORDS I NEVER USE, e.g. "seamless", "in today's fast-paced world"].

Meeting notes to action list

When to use this: After a meeting, so everyone knows who does what and by when.

Turn the meeting notes below into:
1. Decisions (what was decided, 1 line per decision).
2. Actions as a table: action | owner | deadline. No owner or deadline mentioned? Write [UNKNOWN].
3. Open questions nobody has picked up yet.
Add nothing that isn't in the notes. Max 1 screen.

Build a step-by-step plan

When to use this: You have a goal but don't know where to start.

My goal: [GOAL, as concrete as possible].
My situation: [TIME PER WEEK / BUDGET / WHAT I CAN ALREADY DO].
Deadline: [DATE].

Make a step-by-step plan:
- Max 7 steps, each with one concrete result I can tick off.
- Per step: estimated time and what I need.
- Mark the step where most people get stuck, and how I avoid that.
- If you're missing essential info, first ask max 3 questions instead of making assumptions.

Compliance kit

AI disclosure for chat and voice bots

When to use this: In every bot that talks to people. The EU AI Act (Art. 50) requires this since 2 August 2026, at the latest at first contact.

CHATBOT (first message)
Hi! You're chatting with the digital assistant of [COMPANY]. I'm an AI assistant, not a person. I can help you with [TOPICS]. Prefer to talk to a person? Type "human".

VOICE BOT (first sentence)
Hello, you're speaking with the digital assistant of [COMPANY]. I'm an AI assistant. How can I help you? To speak to a person, just say "person".

CHECK
- The disclosure is in the very first message or sentence, not after a question.
- Also visible in the chat widget (e.g. an "AI assistant" label next to the name).
- There is always a route to a human.

Notice for recording or transcribing calls

When to use this: When a voice bot records or transcribes calls. That is processing personal data; you must inform callers in advance.

IN THE GREETING (short)
This call is [recorded / transcribed] to [PURPOSE, e.g. handle your question properly]. More information at [WEBSITE]/privacy.

ON THE PRIVACY PAGE (details)
- What: [recording / transcript] of phone calls with our assistant.
- Why: [PURPOSE]. Legal basis: [BASIS, e.g. performance of a contract / legitimate interest].
- How long: we keep this for [PERIOD] and then delete it automatically.
- Who: [COMPANY], with help from [VENDORS, e.g. telephony and AI provider].
- Your rights: access, correction and deletion via [EMAIL].

Compliance kit

Data processing agreement checklist (GDPR Art. 28(3))

When to use this: As soon as you store or process personal data for a client (automation, chatbot, transcripts, CRM sync). Without an agreement you are both in breach.

DATA PROCESSING AGREEMENT [CLIENT] – [YOUR COMPANY]
Does it cover all of this?

[ ] Subject matter and duration of the processing
[ ] Nature and purpose of the processing
[ ] Types of personal data and categories of data subjects (e.g. customers, callers, staff)
[ ] Processing only on the client's documented instructions, no own use
[ ] Confidentiality for everyone with access to the data
[ ] Security measures (described, not just "appropriate")
[ ] Sub-processors only with permission and under the same obligations (see sub-processor list)
[ ] Assistance with data-subject requests (access, deletion)
[ ] Assistance with data breaches and any DPIA
[ ] Deletion or return of data at the end
[ ] Audits / information to demonstrate compliance

Not legal advice; have it checked. Health data is a special category (GDPR Art. 9); avoid it as a first niche.

Compliance kit

Sub-processor list

When to use this: As an annex to your data processing agreement. Every service that sees personal data (LLM provider, automation platform, telephony, hosting) belongs on it.

ANNEX: SUB-PROCESSORS – version [DATE]

| Sub-processor | What it does | Which data | Location | Transfer outside EU via |
|---|---|---|---|---|
| [LLM PROVIDER] | Process text/speech | [e.g. messages, transcripts] | [COUNTRY] | [Data Privacy Framework / SCCs / n/a] |
| [AUTOMATION PLATFORM] | Run workflows | [..] | [COUNTRY] | [..] |
| [TELEPHONY / VOICE] | Handle calls | [e.g. phone number, recording] | [COUNTRY] | [..] |
| [HOSTING] | Storage and servers | [..] | [COUNTRY] | [..] |

Changes: [YOUR COMPANY] announces a new sub-processor [X] days in advance; [CLIENT] can object within that period.

Not legal advice; have it checked. Read each vendor's own data processing agreement (DPA).

Compliance kit

AI clause for proposals or terms

When to use this: In every proposal where you use or deliver AI. Prevents arguments about ownership, labels and liability later.

USE OF AI
1. [YOUR COMPANY] uses AI systems for [PARTS, e.g. writing code / creating images]. All output is checked by a human before delivery.
2. Ownership: [CLIENT] receives [ownership / a licence] to the delivered work, insofar as rights exist in it. Parts made purely by AI may not be protected by copyright; exclusive rights in them cannot be guaranteed.
3. Labels: where the law or platform requires it (e.g. realistic AI images, video or audio), AI content is labelled as such. Chatbots always tell users they are talking to AI.
4. Limits: an AI system can make mistakes. The bot only answers [AGREED TOPICS] and refers everything else to a human.
5. Liability: the liability of [YOUR COMPANY] is limited to [AMOUNT / E.G. THE INVOICED AMOUNT OVER THE PAST 12 MONTHS].

Not legal advice; have it checked. Don't guess the liability cap (point 5) yourself.

Compliance kit

Data retention note

When to use this: When delivering a bot or automation. Record what you store and for how long, and actually configure it that way in the tools.

DATA RETENTION – [PROJECT] – [DATE]

| Data | Where | Why needed | Retention | How deleted |
|---|---|---|---|---|
| Call recordings | [TOOL] | [PURPOSE] | [X DAYS] | [automatic via setting / manual] |
| Transcripts | [TOOL] | [PURPOSE] | [X DAYS] | [..] |
| Chat logs | [TOOL] | [PURPOSE] | [X DAYS] | [..] |
| Workflow logs (with personal data) | [TOOL] | Debugging | [X DAYS] | [..] |

Principle: keep nothing longer than needed for the purpose.
Configured and checked by: [NAME], on [DATE].

Not legal advice; have it checked.

Discovery call questions

When to use this: The first conversation with a potential client. You listen 80% of the time.

1. What costs you the most time or frustration in [PROCESS] right now?
2. How does it work today, step by step? Can I see it once?
3. How often does it happen (per day/week) and how long does it take each time?
4. What happens when it goes wrong? What does that cost?
5. What have you already tried?
6. What does "solved" look like? How will you know in 3 months that it works?
7. Which systems do you use for this (email, CRM, calendar, accounting)?
8. Does personal data flow through it? Whose?
9. Who decides on this, and who else needs to agree?
10. What's the budget, or what could it cost if it saves [HOURS] per week?
Close: "I'll make a short sketch. Shall we book 15 minutes on [DATE] to walk through it?"

At [SIMILAR COMPANY / INDUSTRY] I removed [RESULT WITH A NUMBER, e.g. 6 hours of manual work per week] with [SOLUTION IN PLAIN WORDS].

Shall I show you in 15 minutes what that looks like for [COMPANY]? No sales pitch, just a working example.

Sales

Follow-up that adds something

When to use this: 3-5 working days after your first message or call with no reply. Send something new, not "just checking in".

Hi [FIRST NAME],

After our [CALL / MESSAGE] I put together [SOMETHING CONCRETE, e.g. a sketch of the workflow / a quick calculation]: [LINK OR 1 SENTENCE WITH THE GIST].

In short: [RESULT, e.g. about 5 hours a week less retyping].
Shall we take 15 minutes on [DAY] to check if this fits for you?

Not the right time? No problem, let me know and I'll stop here.

Best,

Maintenance retainer description

When to use this: In your proposal, next to the one-off build price. APIs change and integrations break; without an agreement you do that work for free.

MAINTENANCE AND MONITORING – [AMOUNT] per month (excl. VAT), cancel monthly

Included:
- Monitoring: I get an alert when [WORKFLOW / BOT] fails and fix it within [X WORKING DAYS].
- Updates when connected services change (APIs, models).
- [X] hours of small changes per month (not carried over).
- Short monthly report: [NUMBER OF CONVERSATIONS / RUNS], errors, improvements.
- Review of retention periods and sub-processors.

Not included: new features, extra integrations, costs of external services (billed to your own accounts) → quoted separately.

Content

Hook formulas

When to use this: The first 1-3 seconds of a video or the first line of a post. Pick one, fill it in, test two against each other.

1. Result: "How to [RESULT] in [TIME], without [HASSLE]."
2. Mistake: "You're probably doing [HABIT] wrong. Here's why."
3. Number: "[NUMBER] [THINGS] that save [AUDIENCE] [TIME/MONEY]."
4. Contrarian: "[POPULAR OPINION] is wrong. This works:"
5. Before/after: "Last week: [BEFORE]. Now: [AFTER]."
6. Question: "Why does [SURPRISING FACT]?"
7. Tested it: "I tried [THING] for [X] [DAYS/TIMES]. Here's what stood out."
Rule: the video has to deliver what the hook promises.

Content

Video script skeleton
